1. Introduction

This User Agreement ("Agreement") establishes the terms and conditions for your use of SwiftInbox AI's services and defines the relationship between you (the "User") and SwiftInbox Technologies Pvt. Ltd. ("Company," "we," "us," or "our").

This Agreement supplements our Terms of Service and Privacy Policy, providing additional clarity on user rights, responsibilities, and service expectations.

2. Service Description and Scope

2.1 Core Services

SwiftInbox AI provides the following core services:

  • Email Intelligence: AI-powered analysis and prioritization of your email communications
  • Inbox Organization: Automated categorization and sorting of incoming messages
  • Smart Responses: AI-assisted email composition and reply suggestions
  • Integration Services: Seamless connection with Google Workspace applications

2.2 Service Levels

We offer multiple service tiers:

  • Free Tier: Basic email organization and limited AI features (10 summaries per day)
  • Professional Tier (Coming Soon): Advanced AI capabilities and enhanced analytics

3. User Rights and Responsibilities

3.1 Your Rights

As a SwiftInbox AI user, you have the right to:

  • Access and use the Service according to your subscription level
  • Receive customer support as outlined in your service plan
  • Control your data and privacy settings
  • Export your data in standard formats
  • Receive advance notice of material service changes
  • Cancel your subscription at any time
  • Request data deletion upon account termination

3.2 Your Responsibilities

As a user, you agree to:

  • Provide accurate account information and keep it updated
  • Use the Service in compliance with all applicable laws
  • Maintain the security of your account credentials
  • Report security vulnerabilities or service issues promptly
  • Respect the intellectual property rights of others
  • Use the Service only for legitimate business purposes
  • Comply with Google Workspace terms and policies

4. Data Ownership and Control

4.1 Your Data Ownership

You retain full ownership of all email content, personal information, and data you provide to or generate through our Service. We act as a data processor on your behalf.

4.2 Data Processing Rights

You have the right to:

  • Access all data we process on your behalf
  • Correct inaccurate or incomplete data
  • Delete your data (subject to legal retention requirements)
  • Restrict certain types of data processing
  • Object to automated decision-making
  • Receive your data in a portable format

4.3 Data Retention

We retain your data only as long as necessary to provide the Service or as required by law. Upon account termination, we will delete your data within 90 days unless you request immediate deletion.

5. Service Level Commitments

5.1 Availability

We strive to maintain high availability for our Service. Planned maintenance windows will be announced in advance when possible.

5.2 Performance

We strive to process email analysis requests within reasonable timeframes under normal operating conditions. Performance may vary based on email volume and complexity.

5.3 Support Response Times

  • Free Tier: Community support via documentation and forums
  • Professional Tier (Coming Soon): Email support with reasonable response times

6. Account Management

6.1 Account Creation

Accounts are created through Google OAuth integration. You must have a valid Google Workspace account to use our Service.

6.2 Account Security

We implement industry-standard security measures, but you are responsible for:

  • Maintaining secure access to your Google account
  • Enabling two-factor authentication where available
  • Reporting suspicious account activity immediately
  • Regularly reviewing account permissions and settings

6.3 Account Suspension

We may suspend accounts for violations of this Agreement, but will provide notice and opportunity to remedy issues when possible, except in cases of severe violations or security threats.

7. Service Updates and Changes

7.1 Feature Updates

We regularly update our Service with new features and improvements. Most updates are deployed automatically without service interruption.

7.2 Material Changes

For significant changes that affect core functionality or pricing, we will provide at least 30 days' advance notice via email and in-app notifications.

7.3 Deprecated Features

If we discontinue a feature, we will provide 90 days' notice and, where possible, offer alternative solutions or migration paths.

8. Compliance and Certifications

8.1 Security Standards

SwiftInbox AI maintains the following compliance standards:

  • Google Cloud Security standards
  • GDPR compliance for EU users
  • CCPA compliance for California users

8.2 Regular Audits

We conduct regular security assessments to ensure the ongoing security and integrity of our Service.

9. Communication and Notifications

9.1 Service Communications

We will communicate with you regarding service updates, security issues, and account matters via:

  • Email notifications to your registered address
  • In-app notifications and announcements
  • Updates to our website and documentation

9.2 Marketing Communications

You may opt out of marketing communications at any time while continuing to receive essential service notifications.

10. Agreement Updates

We may update this User Agreement to reflect changes in our Service, legal requirements, or business practices. Material changes will be communicated with at least 30 days' notice.

Your continued use of the Service after the effective date of changes constitutes acceptance of the updated Agreement.
